Equipment Room Information & Policies

Equipment Room Policies

  1. Only current Annenberg students, faculty and staff may check out equipment.

  2. Students must have an Annenberg Equipment (AE) Card to check out equipment. The card will show what equipment you are authorized to check out.

  3. Equipment can only be used for class assignments and approved program production.

  4. For class assignments requiring the use of equipment, approval will be made in advance.

  5. For individual requests associated with an assignment, we must receive an email from the instructor. Approval will be granted pending the availability.

  6. You are financially responsible for the equipment you check out. A liability form must be on file.

  7. It is your responsibility to make sure you have all the equipment you are signing for before you leave the Equipment Room.

  8. Test your equipment and check your batteries before you leave.

  9. You must return your own equipment to the Equipment Room. You will need to wait until we check your equipment and return your AE card, please be patient. If any items are missing or not working due to visual abuse, your AE card will be held until the matter is settled.

  10. Your equipment is due back right away after its use, preferably one to two days. Set a return due date at the time of checkout. Any date over 7 days will require an explanation and special approval. Semester checkouts are only for pre-approved classes.

 


Checking out equipment

All Annenberg students, faculty and staff are provided access to equipment from the Annenberg Equipment Room. We have a variety of video cameras, still cameras and audio recording equipment that can be checked out and used for Annenberg classes, programs and special projects. The staff of the equipment room will work with you to determine what equipment will work best for your specific situation.

Students, faculty and staff must have a current USC Picture ID for equipment check out. Additionally students may be required to have a specialized Equipment Card to check out equipment that is designated for use by a specific project, class or program (i.e. IMPACT, ATVN, ARN, etc.). Students who don’t fall into these categories, may need an email from an Annenberg faculty member explaining your project.

We have a supply of general use equipment that may be checked out for a short period of time to complete special projects. We ask that this equipment be returned as soon as possible so it may be available to others; generally 1 to 2 days.

 

Technical assistance

Equipment room staff will be available during business hours to answer basic operational questions and assist with technical problems that you might be experiencing in the field. We will always tell you that you should defer to the instructions of your instructor, when questions of style and content come up. You may call the Equipment Room (213) 740-5739 or come by during our hours of operation.


Returning your equipment

When you return your equipment we ask that you be kind and return it as neatly as it was checked out to you. We will go over the kit with you when you return it to make sure that everything that belongs in the kit is there and that there is nothing in the kit that should not be (wallets, money, ID’s, credit cards, personal media, etc..) there.


Lost and found

Items found in equipment bags will be taken to the lost and found in the Facilities and Technology front office located in ASC 223. USC Annenberg is not responsible for any lost property.

A note for faculty

We welcome both Communication and Journalism faculty to utilize the Equipment Room for Annenberg related class projects and programs. However, to ensure that we can fully support your class, please send an email to the Annenberg Equipment Room (ascequip@usc.edu) to make arrangements and specify your needs before informing your students that equipment will be available to them. Any specified use of the equipment that we have on hand for your courses can be arranged with the Director of Multimedia Technologies. This will help our staff prepare accordingly and assist your students more effectively.

Fines and penalties

  • $10 per day fee for late returns. Call in advance of your return time to avoid late fees.

  • $5 fee to straighten tangled cables. Please re-wrap your cables for the next person.

  • All fees are charged directly to your USC account. No cash can be accepted.

  • You may only checkout equipment for your own use. Please do not hand off your equipment to anyone else or we will hold your AE-card and you will lose your equipment access.


Making reservations in the Annenberg Equipment Room

Not all check outs require a reservation if equipment is available. Reservations are helpful to ensure availablility. Students working on class assignments may make reservations for equipment to use up to 2 days. This reservation policy is intended to help all students get a fair opportunity to complete their assignments.

The Annenberg Equipment Room begins operation the first Wednesday of the semester through the last day of finals. We are closed during the winter, spring and summer breaks except by previous appointment.

Reservation guidelines

  1. Reservations should be made not later than 24 hours in advance via email at ascequip@usc.edu. Reservations will be reviewed during business hours and you will receive a confirmation via email.

  2. You may also walk up to the equipment room window during business hours and make a reservation with a Technical Staff person.

  3. No voicemail reservations will be accepted.

  4. Only 1 reservation per week will be allowed beginning each Monday.

  5. You may only make a reservation for the current and following week.

  6. If you are more than 15 minutes late for your assigned reservation you will forfeit your reservation to the next student needing equipment.

  7. Equipment must be returned at the designated return date and time. Failure to return the equipment on time may forfeit your ability to reserve equipment.

  8. Cancellations within 24 hours or no-shows will count as your one reservation.

  9. All reservation pickup times must be prior to 5 p.m.

  10. It is your responsibility to schedule within these guidelines.
